Nobody gets through the gate on somebody’s word.
A gatehouse logbook cannot tell you who approved a visitor, whether the pass had already been used, or which guard was on duty when it was. MyNaijaEstate turns that into a record: the resident approves, the guard verifies at the gate with or without network, and every entry keeps its own trail.
Work the gate yourself
Not screenshots. This is a working prototype with a fictional estate loaded. Approve a visitor as a resident, take the code to the gate and verify it, try a wrong code, then cut the network and watch the gate keep working — and the estate wallet account for every pass.
Sample data for a fictional estate — no real residents, no real money. Nothing you do here leaves your browser.
The resident approves, not the gate
A visitor pass is created by the person being visited, carries a window it is valid for, and is spent when it is used. A QR code works when the visitor has a phone worth trusting; a six-digit OTP works when they do not. Either way the pass names who approved it, so the gate is never the one making the judgement call.
| Pass | Approved by | Valid | State |
|---|---|---|---|
| QR · 4F2A | Mrs Adeyemi, B12 | Today 14:00–18:00 | Used 15:42 |
| OTP · 902117 | Mr Nwosu, A4 | Today 09:00–12:00 | Expired unused |
| QR · 8C71 | Dr Bassey, C7 | Sat 10:00–20:00 | Not yet used |
It has to work when the network does not
Estate gates sit behind concrete and bad signal, and a guard cannot tell a queue of cars to wait for a page to load. The guard app verifies passes on the device and queues the entry log, so the gate keeps moving and the record catches up when signal returns. Each log keeps the guard, the gate and the time, not just the plate number.
| Time | Visitor | Gate / guard | Result |
|---|---|---|---|
| 15:42 | Blue Sienna, LND-442-KJA | Main · Musa I. | Admitted |
| 15:51 | Walk-in, no pass | Main · Musa I. | Turned away |
| 16:03 | Dispatch rider | Service · Grace O. | Queued offline |
An alarm that reaches someone who can act
An SOS from a resident goes to the guards on duty and the estate exco at the same time, with the unit it came from already attached. What happens next becomes an incident record rather than a WhatsApp thread nobody can find again: who responded, when, and how it was closed.
| Raised | From | Type | State |
|---|---|---|---|
| 21:14 | Unit C7 | Medical | Closed · 6 min |
| 02:41 | Unit A12 | Intrusion | Closed · 3 min |
| 18:09 | Main gate | Dispute | Open · with exco |
Every naira of estate money explains itself
Service charges, levies and special contributions are billed to units and reconciled against what actually arrived. Estates run on a prepaid token balance rather than a large subscription, and the wallet behind it is a ledger — each movement has a source, a reason and a balance after, so an exco handover does not start with an argument.
| Item | Units billed | Collected |
|---|---|---|
| Service charge, Q4 | 214 | 81% |
| Borehole levy | 214 | 47% |
| Security upgrade | 214 | 93% |
Landlords, tenants and the gaps between them
Units, tenancies, rent charges and deposits sit in the same place as access, because they are the same people. When a tenancy ends the passes end with it. Property issues raised by a tenant stay attached to the unit rather than to whoever happened to answer the phone.
| Unit | Tenancy | Rent | State |
|---|---|---|---|
| B12 | Till 31 Mar 2027 | ₦3.2M / yr | Paid |
| A4 | Till 14 Nov 2026 | ₦2.8M / yr | Due in 41 days |
| C7 | Ended 30 Sep 2026 | — | Deposit under review |
The estate noticeboard, minus the group that never stops
Announcements come from the exco and reach every resident, with the ones that matter kept apart from the ones that do not. Estate chat, a resident marketplace and shared facilities round it out — so the platform people open for a visitor pass is the same one they open for everything else.
| Channel | Used for |
|---|---|
| Announcements | Exco notices, outages, meetings |
| Chat | Residents, guards and the secretary |
| Marketplace | Resident listings and services |
| Facilities | Gym access and check-ins |
Roles that hold, and a log that remembers
A guard sees the gate. A resident sees their own unit. The secretary sees the estate. The exco sees the money. Those boundaries are enforced rather than agreed, and every administrative action lands in an audit log — the thing that makes the next handover survivable.
| Role | Can see | Cannot |
|---|---|---|
| Guard | Passes, gate log, SOS | Finance, resident data |
| Resident | Own unit, own passes, dues | Other units |
| Secretary | Estate operations | Payouts |
| Exco | Finance and payouts | — |
Built for the gate, not the office Wi-Fi
MyNaijaEstate is a Next.js and PostgreSQL platform with passkey sign-in, an offline-capable guard workflow, a double-entry token wallet and an audit log over every administrative action. It is deployed and in use.
Run an estate, or sit on the exco?
If your gate still runs on a logbook and your dues still run on a spreadsheet, we can show you the same walkthrough using your own estate’s structure — units, gates, roles and all.
